Seeking a sharp, adaptable Bilingual Executive Assistant – Chinese (Mandarin) for assignments in business and administrative functions. The Executive Assistant provides high-level administrative, communication, and coordination support to ensure efficient executive operations. This role requires strong bilingual (Chinese–English) communication skills, exceptional organization, discretion, and the ability to manage complex schedules, meetings, and sensitive information in a fast-paced corporate environment.

Job Duties and Responsibilities
Executive Meeting & Information Management
• Collect, organize, refine, and prepare materials for executive and corporate meetings.
• Consolidate reports and inputs from internal departments and external stakeholders, ensuring accuracy, completeness, and on-time submission.
• Organize and coordinate formal meetings chaired by the CEO, including logistics and participant coordination.
• Prepare meeting agendas, presentation decks, and supporting documentation.
• Draft clear and professional meeting minutes, documenting resolutions, action items, owners, and deadlines; track follow-up and execution.
Schedule, Documentation & Daily Administrative Support
• Manage and coordinate the CEO’s calendar, meetings, and work schedule.
• Organize, maintain, and archive executive documents and materials.
• Provide day-to-day administrative and logistical support to enable smooth executive operations.
External Reception & Stakeholder Support
• Support external engagements involving the CEO, including:
o Customer visits
o Government and regulatory authority visits
o Visits from key partners and VIP guests
• Prepare reception plans, coordinate meeting spaces, arrange catering, and manage related administrative logistics.
Parent Company Board & Executive Communication Support
• Organize and coordinate meetings during visits by parent company directors and executives.
• Provide Mandarin Chinese–English interpretation and bilingual communication support as required.
Legal, Compliance & Administrative Coordination
• Provide administrative and coordination support for legal and compliance-related matters, including:
o Organizing, tracking, and maintaining contract documents and related records;
o Coordinating with external legal counsel (scheduling, consolidating questions, tracking feedback);
o Assisting with preparation, revision tracking, and internal circulation of company policies, procedures, and regulations;
o Supporting the consolidation, revision, and reporting of company plans, proposals, and management documents.

Desired Skills, Qualifications, and Experience
Basic Qualifications (Mandatory)
• Bachelor’s degree or above; preferred majors include Administration, Business Administration, Law, or Public Relations.
• 2–5 years of relevant experience as an Executive Assistant, CEO Secretary, General Manager Assistant, or in a similar role.
• Strong bilingual proficiency in Mandarin Chinese and English, with the ability to provide meeting interpretation and prepare professional written materials.
• Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) with strong document preparation, organization, and reporting skills.
• Willingness and ability to work flexible hours and occasional overtime as business needs require.
Meeting & Information Management
• Demonstrated experience organizing formal corporate meetings end-to-end.
• Strong analytical and summarization skills, with the ability to distill complex information into clear key points.
• Proven ability to manage multiple priorities effectively in a fast-paced environment.
Communication & Coordination
• Excellent cross-functional communication skills; able to work confidently with senior executives and department leaders.
• Professional demeanor and strong business etiquette in external communications and receptions.
• Ability to independently coordinate and follow up on administrative and transactional matters within assigned authority.
Execution, Professionalism & Confidentiality
• Highly detail-oriented, responsible, and execution-focused with strong follow-through.
• Strong awareness of confidentiality requirements and professional ethics.
• Ability to remain calm, reliable, and effective under pressure and in high-demand situations.
