Position Overview
We are seeking an experienced and highly professional Executive Assistant to provide comprehensive administrative support to a senior executive. This position requires an individual who can effectively manage both business-related and select personal matters, ensuring seamless integration between the executive’s professional and personal responsibilities. The successful candidate will demonstrate exceptional organizational skills, discretion, and the ability to operate in a fast-paced, dynamic environment.
Key Responsibilities
Business Support
• Manage complex calendars, coordinate meetings, and arrange domestic and international travel itineraries.
• Prepare correspondence, reports, presentations, and briefing materials in support of executive priorities.
• Act as a liaison between the executive and internal/external stakeholders, ensuring effective communication and follow-up.
• Support the execution of strategic initiatives by tracking deadlines, deliverables, and key action items.
• Conduct research and prepare executive summaries to facilitate informed decision-making.
• Handle sensitive and confidential information with the utmost discretion and professionalism.
Personal Support
• Coordinate personal scheduling, appointments, and events to align with business commitments.
• Arrange personal and family travel logistics, including accommodations and itineraries.
• Maintain strict confidentiality in all personal and professional matters.
Desired Skills/Qualifications
• Bachelor’s degree preferred; equivalent work experience will be considered.
• Minimum of 5 years of experience supporting senior executives in a corporate environment.
• Proven ability to manage competing priorities, with exceptional organizational and time-management skills.
• Strong written and verbal communication skills, with the ability to represent the executive with professionalism.
• Proficiency in Microsoft Office Suite, Google Workspace, and other productivity tools; experience with project management software a plus.
• High degree of integrity, judgment, and discretion when handling confidential information.
• Ability to work independently, anticipate needs, and exercise sound decision-making.
• Flexible availability to address time-sensitive matters outside of standard business hours.
• Professional demeanor with excellent interpersonal and relationship management skills.
• Resourceful, adaptable, and solutions-oriented in fast-paced and evolving circumstances.
